Duties and
Responsibilities:
The Administrative Coordinator will have primary responsibility for daily behind-the-scenes operations in addition to answering calls, initiating client intake and taking messages.
Will serve as initial interface for all firm visitors and clients.
Manages most client related financial information.
Reception:
Initiates potential new client (PNC) intakes.
Schedules and calendars PNC follow ups.
Answers and directs calls on multi-line phone system.
Greets office visitors, vendors, and others.
Assists firm personnel as requested.
General Administrative Duties:
QuickBooks Online administration.
Opens new matters and cases.
Drafts letters to dealerships, manufacturers, current clients and others.
Maintains case files.
Reconciles and allocates credit card charges.
Manages matter payment histories and settlement statements.
Adds client costs and credits to billing files.
Handles expense reimbursements.
Manages check requests and processing.
Sends end of engagement follow ups.
Responsible for daily scanning and delivery of mail.
Coordinates shredding and document destruction with external vendor.
Orders office supplies and manages inventory.
Maintains appearance and cleanliness of communal areas such as conference rooms, break areas, kitchen, and lobby.
Opening and closing duties in various areas such as the lobby, kitchens, break, and copy rooms.
Oversees vendor delivery and pick-ups.
Manages all incoming and outgoing UPS, FedEx, USPS, and messenger items.
Qualifications:
Experience using a multi-line phone system.
Experience using QuickBooks Online.
Extraordinary phone etiquette.
Exposure or experience in a professional services or legal environment.
Proven proficiency in the MS Suite of applications, legal time and billing systems and records management software.
Ability to work overtime as required, sometimes on short notice.
Excellent spoken and written English.
Bilingual English/Spanish is a plus.
Ability to sit at a desk for prolonged periods of time and lift up to 25lbs on a regular basis.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
