Valencia, CA Valencia, CA Contract Contract $25 - $40 an hour $25 - $40 an hour 6 days ago 6 days ago 6 days ago Purpose of the Job To provides administrative support for the President of the division, senior leadership, and non-leadership direct reports (as needed).
Represents the division as a prime contact, interacts with internal and external constituents on matters often requiring coordination between organizations and often on matters of a sensitive/confidential nature.
Supports specialist projects and events and initiatives related to the Office of the President.
Works with healthcare providers, suppliers, board members & recipients, etc.
Work is performed under general direction, however, he/she will plan and schedule their own activities in accomplishing assigned objectives.
Key Tasks & Responsibilities Performs administrative duties such as setting up meetings, conference room scheduling, teleconferences, catered lunches, agendas and equipment setup.
Manages special projects and events.
Provides support to and management of select corporate initiatives.
Responsible for application of continuous improvement principles to the general administrative operations of the Office of the President.
Performs secretarial duties such as correspondence, copying, and filing.
Prioritizes requests of the president, and manage multiple complex scheduling and demands on time.
Assists with the generation of various reports, documents and presentations.
Maintains the quality training records for President, select senior team leaders, and facilitate annual updates for President, all direct reports including the senior leadership team.
Coordinates heavy travel scheduling, including airline, hotel and rental car reservations, often international with complex, multi-destination demands.
Researches and plans for any travel restrictions, testing and/or quarantine requirements prior and during travel and return to California.
Manages the timely compilation and submission of expense reports.
Manages heavy scheduling that includes meetings for/with CEO, Sonova Management Board, internal and external interviews, and on-boarding/logistical scheduling of president's direct staff.
Interact with local communications to help formulate communication plans for internal and external audiences.
Maintain departmental budget and costs Order supplies as needed Basic Education Bachelor's Degree or a combination of a High School Diploma and some related experience.

years business and/or administrative assistant experience Professional Competencies Excellent organizational skills Ability to handle multiple priorities and tasks effectively Proven track record of properly handling sensitive and confidential information including HIPPA protected data Proven track record of effective customer focused interactions Experience working with process improvement Experience managing special projects and events Additional Remarks To be successful in this position, the person must be extremely flexible, self-directed, and adaptive to fast-paced environment and frequent change; and feel comfortable proactively communicating with the President as well as all levels of the organization.
