Responsibilities:
Support company operations by maintaining office systems and supervising staff.
Maintain office services by organizing office operations and procedures.
Ensures compliance with regulatory requirements and with policies and procedures.
Partner with Human resources, Payroll, and division managers to process job applicants, including on-boarding new employees, benefit enrollment, timekeeping and termination being a liaison with Human Resources, and ensuring policy compliance.
Assist field staff with addressing time, pay, benefit, and other needs/concerns.
Provide support for the company's safety program.
Streamline administrative functions to optimize office operations and overall efficiency.
Coordinates and integrates services within the office.
Plans and implements process improvement strategies.
Overseeing and supporting all administrative duties to ensure that the office is operating smoothly.
Directs the planning, operation, building maintenance and up keeping of the information systems.
Negotiate contracts and pricing with office vendors, and service providers.
Company asset management:
tracking equipment, shipping and receiving, and maintaining inventory.
Manage daily operations with a focus on customer service.
Communicate proactively with Division Managers, and clients to ensure high-quality service delivery.
Provide front desk reception coverage including handling phone calls, routing them to appropriate staff and greeting all visitors in a professional manner.
Collect and distribute all incoming mail.
Assist in General Office administration (i.
e.
, office supply ordering, form and documents inventory, filing, etc.
) Manage and process client and vendor invoices weekly.
Manage and file all facility invoices.
Maintain and update company intranet.
Assist in any ad-hoc duties, projects and activities when required.
This is an on-site position and requires in-office attendance 8 am-5 pm daily.
Requirements Profile:
Skills/Abilities - Ability to:
Knowledge and ability to use various computer programs and applications, including Microsoft Office Word, Excel, and email systems; Mac (Apple) proficiency preferred Strong organizational skills, attention to detail, and ability to multi-task a must Type a minimum of 40 WPM Strong verbal and written communication skills Manage multiple priorities and meet deadlines in high volume office environment Ability to establish and maintain effective working relationships with supervisors, other employees, and clients Apply to deliver strong customer service Always represent the organization in a positive and professional manner Bilingual (English/Spanish) preferred Excellent writing skills preferred Education/Experience/Licenses/Certifications:
Minimum of five (5) years of professional experience encompassing office management, Human Resources practices, and organizational operating procedures.

years of experience in landscape industry (preferred) High School Diploma or GED; associate degree in business (preferred), or equivalent work experience Valid Driver's License Work Environment/Physical Requirements:
This is an on-site position and requires in-office attendance 8 am-5 pm daily (M-F) Work in an office environment Occasional overtime work may be required The above duties, tasks and requirements may be supplemented occasionally at the discretion of the supervisor.
